This part of the process is where the object is created by a prospective donor, listed in the Museum Exchange, and then reviewed by institutions. Institutions with interest can submit a formal written proposal, which is then reviewed by the donor. If the donor accepts the proposal, the match occurs and the donation process begins.
What “pre-match” means
Pre-match are all of the steps on Museum Exchange prior to a match happening and a donation starting. Museum Exchange facilitates matches between donors looking to donate their works and institutions looking to receive donations
End-to-End Pre-Match Steps
Pre-match fo, all objects or collections follow a process similar to the one below.
Object(s) are created - donor
The donor adds relevant information about the object(s) they are interested in donating including artist, title, condition, and location of the object.
Object(s) are submitted for review - donor
A donor may choose to list a single item, or multiple items (called a Collection) in the Museum Exchange catalogue. If multiple items are submitted for donation together as a Collection, institutions must receive all objects within that collection as a single donation.
Object(s) details are reviewed - Museum Exchange
Before being added to the Museum Exchange catalogue, Museum Exchange reviews all of the provided information for accuracy and authenticity.
Object(s) are added to the Catalogue - Museum Exchange
Once the object has been verified, it is added by the Museum Exchange team to an upcoming catalogue.
Object(s) are explored by institution staff - Institutions
The catalogue is seasonal and refreshes every quarter (i.e. Spring 2026 catalogue). During the catalogue window, institution staff (admin, curators, etc.) review the objects available to receive as donations.
Institutions formally review objects of interest - institutions
Institution staff add objects for formal institutional review, ensuring that they have the approvals to receive an object as a donation, should a match occur.
Formal proposal is submitted to the donor - institution
Once the institution has approved the donation internally, a formal proposal is submitted to the donor for consideration. The proposal contains relevant information about the institution, it's collection, and why it believes it would be a good fit to receive the donation.
Proposals are reviewed - donor
A donor may receive none, one or multiple proposals. After review all proposals, the donor selects which institution it would like to receive the donation, and a match is made.
Once a match is made the post-match donation process begins.
